Vendor agreement

Version 2026-09-22, effective September 22, 2026. These terms, together with the application you submit, are your agreement with us for that market. There is nothing further to sign. You accept them each time you apply, and the version you accepted is recorded with your application.

1. This is the agreement

These terms, together with the application you submit for a given market, form the agreement between you and The Makers Hive Market for that market. There is no separate participation agreement to sign.

The agreement is formed when you submit an application. If we approve it and you pay the booth fee, the agreement governs your participation in that market. Submitting an application for a later market forms a separate agreement on whatever version of these terms is current then.

You confirm that you are authorised to enter into this agreement on behalf of the business named in your application.

2. Booth fees are final

Booth fees are not refundable and not creditable, under any circumstances. This applies however far in advance you tell us, and whatever the reason, including illness, emergency, travel, weather, staffing, supply problems or a change of plans.

We hold your space, turn away other applicants in your category, and commit to venue and staffing costs on the strength of your booking. That is why this policy has no exceptions: an exception for one vendor is paid for by every other vendor.

3. If we cancel, reschedule or relocate

If we cancel, reschedule or change the venue of a market for any reason, your fee is credited in full toward a future market. Refunds are not issued.

If you cannot attend the new date or venue, the credit remains available for any other market within twelve months.

4. Vendor cancellations and no-shows

Cancelling, or failing to appear, forfeits your fee in full. No refund and no credit is issued.

Tell us as early as you can regardless. It does not change the fee, but it lets us offer the space to a waitlisted vendor.

5. Your space is not transferable

Your booth is assigned to the business named on the approved application. It may not be transferred, shared, sublet, resold or given to another business, and another business may not trade from it.

You may only sell the products described in your approved application. Selling anything else without prior written approval may result in removal without reimbursement.

6. Attendance and conduct

Arrive within the published load-in window, check in with a market coordinator before setting up, remain open for the full published hours, and behave professionally toward customers, staff, venue personnel and other vendors.

Failure to check in with a coordinator incurs a $50 fee.

Breaking down early, or leaving part-way through the market, incurs an additional fee equal to your booth fee.

7. Booth appearance

Booth appearance guidelines are emailed to you on confirmation. You agree to review them and to present your booth accordingly.

Failure to meet the guidelines may restrict your participation, including removal from the market without reimbursement.

8. Permits, licences and insurance

You are responsible for holding every permit, licence, registration and insurance policy your products and the market jurisdiction require, and for keeping them valid on the day of the market.

You agree to produce them on request, by us or by any health, fire or licensing official. Trading without a required permit may result in removal without reimbursement.

9. Events beyond our control

Where a market is prevented, curtailed or disrupted by something outside our reasonable control, including severe weather, natural disaster, fire, public health order, utility failure, civil disturbance or venue closure, fees are credited toward a future market rather than refunded.

10. No guarantee of traffic or sales

We do not guarantee attendance, foot traffic, engagement, transactions or sales, and none of these form part of what your booth fee buys. Attendance and purchasing are affected by weather, local conditions and many other factors outside our control.

What your fee buys is the space, the market, and our promotion of it.

11. Photography and recording

We and our staff may photograph or record the market, including vendors, booths, products and attendees, and may use that material to promote The Makers Hive Market. Attending constitutes your consent to this use, except where prohibited by law.

If you do not want your likeness used, tell a market coordinator at check-in and we will accommodate it where we reasonably can.

12. Accessibility

We want our markets to work for everyone. Contact us ahead of the market with any accommodation you need and we will do what we reasonably can to provide it.

13. Chargebacks

Paying your booth fee is your agreement to these policies, including the no refund and no credit policy. If you dispute a charge with your bank or card issuer, we will treat it as a chargeback under this section.

We keep records to answer disputes: your application as submitted, the exact wording of this agreement as you accepted it, the date, time, IP address and device of that acceptance, our payment records, and our check-in log for the market. These are submitted as evidence to your card issuer.

If you have a problem, contact us first. Almost everything is resolvable by email, and a chargeback is not.

A vendor who files a chargeback is excluded from future markets, is liable for a $50 administrative fee covering the cost of responding, and may be pursued for the disputed amount and associated costs.
